Position Title: Purchasing Supervisor
Reports to: Executive Chef and Clubhouse Manager
JOB SUMMARY: The ideal candidate will have the ability to perform proper analysis to ensure accurate delivery of products and services while maintaining internal controls, operational excellence, and good customer service. Assists department heads with ordering of goods, placing receiving inventory into accounting software, updating of pricing in POS system, while ensuring all procedures are being followed and best pricing strategies are in place. The Purchasing Supervisor is also responsible for resolving complex problems and supervises a team of one.
ESSENTIAL JOB FUNCTIONS:
- Work with all departments to ensure Member Satisfaction.
- Follow club procurement processes, controls, and policies.
- Demonstrate leadership skills and develop purchasing and receiving staff.
- Prepare and submit Purchase Orders to vendors and track delivery until the order is received.
- Trace late arrivals from Purchase Orders and confer and correspond with vendor representatives to rectify problems, such as damages, shortages, and nonconformance to specifications.
- Verify receipt of orders by physical examination of items and reconcile the delivery to the Purchase Order.
- Process requisitions from operating managers and ensure timely delivery of requested items to departments for use.
- Communicate with corresponding departments regarding deliveries and coordinate pick up of goods. Assist in delivering goods around campus as needed.
- Confer and correspond with Vendor Representatives to rectify problems, such as damages, shortages, and nonconformance to specifications.
- Verify receipt of orders by physical examination of items and reconcile the delivery to the purchase order.
- Process requisitions from Operating Managers and ensure timely delivery of requested items to departments for use.
- Assist with physical inventory count process as required for financial purposes.
- Update inventory records with current pricing on a scheduled basis to ensure proper valuation of inventory.
- Maintain organized storage areas with clearly marked inventory sections.
- Ensure compliance with all safety regulations of assigned tasks and ensure a clean and safe working environment with active participation in the health and safety program.
- The supervisor will ensure compliance with safety and club guidelines on business ethics.
QUALIFICATIONS
- The ideal candidate will have three or more years of experience in food-related operational purchasing and inventory management.
- Must have a solid working knowledge of products related to food and beverage operations, including meats, seafood, produce, dry goods, paper supplies, alcoholic beverages and nonalcoholic beverages.
- Computer knowledge, including but not limited to Word, Excel, and procurement systems.
- Excellent written & verbal communication.
- Must understand and maintain confidential information.
- The candidate will demonstrate analytical, problem-solving, and organizational skills.
- Must have the ability to multitask in a fast-paced, demanding environment.
- Ability to communicate professionally with people at all levels of the organization and external contacts.
- A successful candidate will be independent and will take initiatives to better their position.
- Solid decision-making skills.
- Must be able to lift or pull up to 50lbs.
- May need to stand and bend for extensive periods of time.
- May need to execute the position in intense heat or cold elements.
- Analytical skills are necessary to evaluate the cost-effectiveness of available purchasing options.
- Must be able to read, interpret, develop, and negotiate terms and conditions of contracts.
